The Role

Reporting to operations, the Programme Support role is all about supporting the world-class delivery of The Lens Programmes. You will work from their Glasgow office and join a team who are totally dedicated to their mission while being playful about their work. This is an exciting opportunity for the right person to work closely with the CEO, Programme Director and Developers on a number of projects.

Main responsibilities include:

• Support the design, development and delivery of The Lens programmes and activities
• Coordinating the logistics for workshops and events including making bookings and venue arrangements
• Managing all administrative aspects of the Programme
• Developing relationships with the Enablers, Judges, Intrapreneurs and other key contacts
• Providing support at workshops and events
• Preparation of materials and resources for workshops and events
• Ensuring all participants for the workshops have been briefed and prepared beforehand and that appropriate follow-up activities have been completed
• Attending and taking a visual record of the workshop if required
• Use tools such as Campaign Monitor, Survey Monkey and other software programmes to facilitate communication and engagement with all partners
• Develop and maintain the Lens website and social media platforms
• Develop and maintain our digital assets
• Proofreading draft documents to ensure quality, consistency and adherence to The Lens format and branding
• Provide administrative support as and when required
• Monitor progress and adherence to plans and schedules, taking corrective action where required
• Maintain and use customer relationship management to ensure effective communication with partners

 

Requirements

The Lens is looking for a proactive and motivated individual who is able to work independently or as part of a team and is able to develop professional relationships quickly.

Skills required for this role:

• Well developed interpersonal skills and an ability to engage with people
• A self-starter who will thrive working in a fast paced and exciting company
• Be proactive and have excellent problem-solving skills
• Able to work by yourself as well as part of a team
• Know when to take the initiative and when to ask for support
• Able to develop relationships with people in a variety of roles – from CEOs to front line staff
• Be passionate about making a difference
• Able to learn quickly and pick up new systems and processes with ease
• Computer literate, confident using PC/Mac word-processing, spreadsheets, email and PowerPoint
• Adept at or able to learn quickly other cloud-based tools such as Campaign Monitor, Smart Sheets and Survey Monkey
• Highly organised with excellent time management skills, able to delegate tasks and organise others

Experience required for this role:

• Co-ordinating resources to achieve planned outcomes and delivery of workshops
• Use of digital communications
• Report writing
• Analysis and ability to interpret customer analysis tools and information
